Start with the assignment, not the candidate list
A candidate can be suitable for several openings while the screening requirements differ for each one. A warehouse assignment may call for county searches. Another client may also specify employment verification. A driving assignment introduces license and motor vehicle record questions.
Build a screening brief into the client order. Record the actual duties, work location, proposed start, checks requested, review criteria and person responsible for resolving exceptions. Separate the client's contractual preferences from legal requirements that apply to the work. A client request does not override restrictions on when information can be obtained or considered.
Resolve ambiguity before the recruiter selects a package. “Standard background check” is not a usable specification. Name the searches, jurisdictions, employment-history scope and any role-specific additions. Version the agreed requirements so a later change does not silently change an order already in progress.
Choose the package against those requirements
PROFID's staffing packages are examples that can be tailored by client, role and location:
- Basic, from $27.99 per candidate: identity verification, SSN trace and address history, national criminal records with aliases, sex offender registry and global watchlists.
- Essential, from $49.99: the Basic scope plus county criminal searches in two counties.
- Light Industrial, from $80.99: the Essential scope plus state and federal criminal searches.
- Office & Healthcare, from $103.99: the Light Industrial scope plus employment verification for two employers. This example is for office and non-clinical healthcare assignments.
These are starting prices per candidate. Court, data and DMV fees are additional, passed through at cost; review the fee schedule. Drug testing is a separate add-on. Do not assume that a package name includes a driving record, professional license verification or a particular drug-testing program.
Two included counties describe the package allowance, not complete geographic coverage. Use the candidate's history and the agreed assignment scope to establish whether additional counties are appropriate. The national-versus-county guide explains that distinction.
Complete disclosure and authorization before procurement
The FTC's employer guidance explains the stand-alone disclosure, written authorization and employer certification steps for employment consumer reports. Account for the hiring stage and applicable state or local restrictions before requesting criminal-history information.
Identify the employer obtaining the report and the intended recipients. For a staffing assignment, establish the agency's and client's respective responsibilities. A candidate's consent does not by itself resolve every question about a client's permissible purpose, access or decision-making obligations.
In PROFID's flow, the candidate gives consent to the employer, the employer orders the check, and PROFID gathers records and returns the report. The employer makes the decision. Keep the authorization associated with the relevant request rather than relying on an untraceable attachment in a recruiter's inbox.
Send batch invitations without losing assignment context
Before a CSV/XLSX import, check candidate names, email addresses, duplicate entries and package selection. A correct list sent under the wrong client package still creates the wrong orders.
Tell candidates who invited them, what they need to do and whom to contact if information is wrong. PROFID supports email invitations and automatic reminders. Identity verification uses a document and selfie, with a non-biometric alternative. Explain the available route without asking candidates to send identity documents through ordinary email.
Track invitations separately from searches. An unfinished registration needs candidate follow-up; a submitted county search waiting on a court needs a different response. Repeatedly reminding a candidate cannot accelerate a court request.
Work backward from the proposed start date
Use separate milestones for invitation, completed registration and consent, searches returned, employer review and assignment confirmation. Include a named owner for each handoff.
PROFID reports that 97% of automated checks—identity verification, SSN trace, national criminal records and sex offender searches—finish in under five minutes. That figure does not describe completion of an entire staffing package. County searches depend on courts; employment and education verification depend on employers and schools.
Before promising a start, inspect the outstanding component and any review still needed. Keep a provisional start date distinct from an approved assignment. The turnaround guide provides a practical way to explain the different clocks.

Share the minimum information the client needs
Decide whether the client needs a status, a report or both. PROFID lets staffing agencies configure client access, within applicable law, for the assignments that client is entitled to see. Role-based access and multi-location accounts help separate central HR, site managers and client users.
Avoid sending a full report simply to answer a scheduling question. Confirm the candidate's written authorization, the recipient's permissible purpose and the approved access scope before sharing. Restrict access when an assignment or relationship ends, following your retention and access policies.
Keep records of the report used, authorized recipients and the decision. If a report may lead to an adverse employment action, the process generally includes a pre-adverse notice with the report and FCRA rights summary, an opportunity to respond, and the final adverse notice if the employer proceeds. PROFID sends the notices on the employer's behalf; the employer controls the decision and applicable timing.
Connect assignment approval to billing operations
Screening completion, actual attendance and the first billable day are different events. Record all three in your assignment process. Billing begins according to the client agreement and work actually performed, not simply because a screening status changes.
When a start moves, tell the account manager and payroll or billing team which assignment changed. Avoid replacing the original date without keeping its history. This is an agency operating practice; it does not assume an automatic PROFID connection to timekeeping or invoicing.
Reuse candidate information carefully across clients
An existing candidate profile can reduce repeated administration. An earlier report has a particular date, scope, purpose and recipient context, however. It is not an unrestricted credential that every client can use indefinitely.
Before another assignment, compare the new role and client requirements with the earlier scope. Check authorization coverage, intended recipients, permissible purpose, current information and any applicable contractual or legal restrictions. Obtain new authorization where the existing authorization does not cover the proposed procurement or use; order additional or updated checks where needed.
There is no single federal FCRA expiration date that makes every employment report reusable for the same period. Agree on any contractual recency standard explicitly. The FCRA's permissible-purpose provisions and user-verification and resale provisions are relevant to the structure of the arrangement.
A checklist for the assignment owner
Common mistakes to catch before the order
The most preventable errors start with an undefined client package, an invitation attached to the wrong assignment, or an assumed start date. Another is treating a completed automated search as a completed package. Check the individual components.
Also watch for unrestricted report forwarding and automatic rejection based on a status or score. A score reflects rules the employer sets or accepts; it does not replace the employer's review. Apply role-related criteria and the relevant notice process.
FAQ
Can one staffing package cover every client?
Only where the actual requirements match. Maintain assignment-specific scope and add checks when the role, location or client specification calls for them.
Can a client see only screening status?
Yes. PROFID supports configured client access to status or reports. Establish the authorization, permissible purpose and access boundaries for the assignment first.
Should billing start when screening finishes?
Use the client agreement and actual work or other agreed billing trigger. A completed check alone does not establish billable hours.
Must we repeat every check for a returning candidate?
Assess the new assignment, authorization, recipients, report date and scope. Some information may remain usable; additional or refreshed checks may be appropriate. Do not apply a blanket reuse rule.
